Delete Your Practice
This guide explains how to delete your Claras practice when your team no longer needs access to the workspace or its client records.
You need the "owner" role to delete a practice.
Overview
Deleting a practice is different from archiving an individual team member. Practice deletion affects the whole workspace, including every client profile, meeting, file note, attachment, document, template, and setting connected to that practice.
When you request deletion, Claras locks access immediately and schedules the practice for permanent deletion three days later. This short waiting period gives your team time to contact support if the request was made by mistake.
Export your data
Owners can export practice data from Settings → Data. The export covers clients, meetings, documents, attachments, and stored files as a single practice archive. It is separate from deletion, so you can request an export whenever your practice needs a copy outside Claras.
Click Export data. Claras starts the job in the background and confirms with a toast that it will email you when the export is ready. Large practices can take a while. Only one export runs at a time for the practice.
When the job finishes, Claras emails a download link and lists the job under "Recent exports" on the same page. That list shows jobs from the last 7 days, with status (Queued, Running, Ready, Failed, or Expired) and a Download link while the file is available. Ready download links are valid for about 7 days.
Before deleting a practice, request an export if you need records outside Claras, wait for the email or a Ready row, and store the archive. Once the scheduled deletion completes, the deleted practice data cannot be restored through the app.
Request practice deletion
To request deletion, go to Settings → Danger and select Delete practice. Claras will open a confirmation dialog explaining what will happen.
To confirm the request, type the practice name exactly as shown in the dialog and select Delete practice. Requiring the practice name helps prevent accidental deletion when several practices or browser tabs are open.
What happens next
Access is disabled immediately. Everyone in the practice loses access to the workspace once the deletion request is accepted.
The practice is scheduled for deletion. Claras queues the permanent deletion for three days after the request.
Support is notified. Claras sends an internal alert so the team can see that a practice deletion has been requested.
The deletion removes the practice record. Related client records, meetings, file notes, attachments, documents, templates, and settings are removed with the practice.
Only request deletion when your team is ready to lose access to the practice. If the request was made by mistake, contact support as soon as possible before the scheduled deletion completes.
Frequently asked questions
Can I delete my own account without deleting the practice?
Practice deletion removes the whole workspace. If only one person needs to leave, an owner or manager should remove or archive that team member instead.
Can managers delete a practice?
No. Managers can help administer many practice settings, but practice deletion is restricted to owners because it affects the whole workspace.
Where is the data export?
Go to Settings → Data. Owners see Export data and "Recent exports" there. The export is for record keeping and is independent of practice deletion.
How long does an export take?
It depends on how much data the practice holds. Claras emails you when the archive is ready, and the same job appears under "Recent exports" so you can download it from the app as well.
