Download Names

Updated by Claras

Settings → Download names sets the file name and the date format Claras uses for file notes, documents, the client record, the client graph, the transcript, the recording, changelogs, and the analytics CSV.

You need full access to Settings to change these. The account owner and practice managers have that access. Other people in the practice still get these names when they download.

There is no save button. A valid change saves on its own, shortly after you stop typing. An empty "File name" stays on the form as "Enter a file name." An empty "Date format" stays as "Enter a date format." Claras does not save either one. A date format that contains a slash stays as "Date format cannot include a slash." and is not saved. A slash would be read as a folder in the file name.

Date format

"Date format" applies to every date in a file name. It starts as YYYY-MM-DD. The chips under the field fill in another format, and you can type your own. The example under the field shows 20 September 2026 in the format you chose.

File names

Each download has its own "File name". You write the name, and the chips under the field insert a token. A token is a name in braces, such as "{clientName}". Claras replaces it when someone downloads. The field only accepts the tokens under it. Any other token is rejected, the example says why, and the name is not saved.

If a token has nothing to put there, Claras leaves it out. A client with no ID is the usual case for "{clientIdentifier}".

The extension is not part of the field. Claras adds it. The example under the field is the whole file name. It uses sample details, Jane and John Smith, plus your practice name and your name where the token asks for a person at the practice.

  • "{clientName}" The client's name.

  • "{clientIdentifier}" The optional ID on the client.

  • "{meetingTemplateName}" The template used for this meeting.

  • "{documentTemplateName}" The template used for this document.

  • "{documentName}" This document's name, including after it is renamed.

  • "{meetingDate}" When the meeting happened. This uses the date format.

  • "{createdDate}" When this document was created. This uses the date format.

  • "{finalisedDate}" When this was finalised. This uses the date format.

  • "{downloadDate}" The date you download the file. This uses the date format.

  • "{facilitatorName}" Who ran the meeting.

  • "{assignedAdviser}" The adviser assigned to the client.

  • "{practiceName}" This practice's name.

File note

Download DOCX on the file note uses this name, and the file is a Word document. It starts as "{clientName} {meetingTemplateName} {meetingDate}". It can also use "{clientIdentifier}", "{assignedAdviser}", "{practiceName}", "{downloadDate}", "{facilitatorName}", and "{finalisedDate}".

Document

Download DOCX on the document uses this name, and the file is a Word document. It starts as "{clientName} {documentName} {createdDate}". It can also use "{clientIdentifier}", "{documentTemplateName}", "{assignedAdviser}", "{practiceName}", "{downloadDate}", and "{finalisedDate}".

Client record

Download as DOCX on the client record uses this name. It starts as "{clientName} record {downloadDate}". The tokens are "{clientName}", "{clientIdentifier}", "{assignedAdviser}", "{practiceName}", and "{downloadDate}".

Client graph

Download as PDF on the client graph uses this name. It starts as "{clientName} graph {downloadDate}", with the same tokens as the client record.

Transcript

Changelogs

The meeting changelog and the document changelog are separate downloads, and each has its own file name. Both are Word files. Export changelog uses the name for the one you are exporting.

The meeting changelog starts as "{clientName} {meetingTemplateName} {meetingDate} changelog", with the same tokens as the transcript. The document changelog starts as "{clientName} {documentName} {createdDate} changelog", with the same tokens as the document.

Analytics CSV

Download CSV report on Analytics uses this name. It starts as "{practiceName} {downloadDate}". Those are the only tokens.
